Business Case for Workflow Case Studies

A Public Sector Funding Agency

A public sector funding agency had become aware of workflow software but wanted to know if there was a business case for it in their organisation. Lilley Information Systems (LIS) carried out an enterprise-wide study to see if there was a business case for workflow. Potential applications were identified, particularly those that promised the greatest benefits in the shortest time (quick wins). This included analysing the related document management issues of archiving and photocopying for spin-offs, and considering workflow within the total information strategy, covering database integration and groupware. Organisational changes were needed too, in the form of greater delegation, otherwise the workflow system would have ground to a halt. A positive business case was made, allowing the Agency to proceed to take advantage of the benefits of the technology.

A Legal Society

A person left, leaving an unfinished business case for workflow, and users did not understand benefits. Lilley Information Systems reduced the work needed for this tight time scale project by producing a tighter brief that showed that presentation overheads, initially required, were in fact not needed. It was found that previous work on benefits took no account of significance. It was also found that there was no system design to illustrate the main benefit to reduce delay. Trained users and reported findings.
